Action Management

Action Tracking

The Action module addresses four elements of the management system: audit management, task management, corrective actions, and improvement plans. These elements are linked together in various ways.


Task
First, the basic element of each is the “task” or “assignment”. It is a simple element composed of a description of the task, a person responsible for carrying out the task, and a completion date. When the task has been completed there will be a completion date and a short commentary on the activity performed.
A Task is generated in various Dulioca modules following a search for improvement opportunities or root causes of deviation and it is possible to assign simple tasks to one or more collaborators to realize the opportunity, correct the causes and prevent the recurrence of the situation
The modules are

  • Event: in the analysis of the causes of an accidental event, near miss, unsafe situation
  • Ims: in the analysis of risks and opportunities for the organization
  • Com: in the analysis of a new requirement (e.g. a new law) the actions required to comply with it are identified
  • Risk: in the analysis of risk in the workplace it is necessary to correct and improve safety and health
  • Lean: in the analysis of deviations in company processes, the task allows to correct and improve the process
  • Chem: in the analysis of chemical risk, it is necessary to intervene to reduce the risk of exposure

Specifically, in the “Action” module, the “task” represents a sub-element of both the Corrective Action and the Improvement Plan. It allows to design a more complex activity of simpler elements to be completed, one step at a time, by different actors.
On the other hand, a task cannot quickly exhaust a still complex activity. In this case, it is necessary to see the task as the bridge to other processes internal or external to Dulioca.
For example: if the task is "...replace the current model of safety mask with a model...", the responsible will have to activate the processes of research and approval of new suppliers, evaluation and approval of the new PPE, management of the change and more. For these processes the organization has specific procedures. Dulioca can offer its support in supplier management, PPE management and change management.


Audit


A management system must be audited periodically to inform management on the effectiveness of the management system with respect to compliance with the adopted management system requirements (e.g. ISO 9001 and ISO 14001)
The suitability of the management system and its performance are periodically reviewed in relation to changing internal and external circumstances to ensure continued suitability and effectiveness.
In the context of quality and environmental management, the standard guidelines ISO19011 can be adopted.
Dulioca allows you to pre-define the requirements to be audited using checklists that will be adopted by the members of the auditing team. Audits can be planned and conducted with the assistance of Action.Dulioca for collecting observations (findings) and cataloging them into strengths, minor or major non-conformities.
By applying the relevant company procedures, non-conformities can be translated into Tasks or Corrective Actions.

 

Corrective Action


Corrective Action is understanding a problem, contain it, determine the underlying cause, and then take appropriate corrective measures to prevent it from recurring.

  • Identify the problem internal/external to the organization in quantifiable terms
  • Select an interim containment action that must protect the organization without introducing new problems.
  • Identify the root cause by testing each possible cause against the problem description and data. Describe the problem in terms of what, where, when, and how big it is; consider elements such as people, processes, materials, machines, and environment; list all facts and changes to determine the root cause. Identify which barriers were not present or did not work allowing the problem to occur.
  • Plan and implement permanent corrective actions, remove interim actions, and monitor long-term results and make recommendations for systemic improvement. Assess the need to introduce or strengthen organizational, procedural, or technical barriers to protect against accidental events.


Improvement Plan


An improvement plan is essential for establishing clear goals and objectives for individuals or teams within an organization to improve performance and productivity. By outlining specific areas that need improvement, and the actions needed to achieve the desired results, it promotes accountability and transparency by clearly delineating responsibilities and timelines, allowing progress towards objectives to be monitored and evaluated.


Improvement Plan objectives

  • Identify and assess risks and opportunities (e.g. for workplace safety, preventing injuries and illnesses in the workplace, for product quality, preventing out-of-specification)
  • Develop and implement appropriate controls and measures to mitigate risks and hazards.
  • Engage and consult with employees to identify necessary actions.
  • Establish clear roles and responsibilities for managing actions

Implementing and monitoring the improvement plan involves several key steps:

  • Communicate the improvement plan to all stakeholders: Ensure that all team members are aware of the objectives, objectives and timeline.
  • Assign responsibilities and set deadlines: Clearly define the roles and responsibilities of each team member in implementing the improvement plan. Set realistic deadlines for each activity to ensure timely progress.
  • Provide necessary resources and support: Ensure that team members have access to the resources, training, and support needed to successfully implement the improvement plan.
  • Monitor progress regularly: Establish a system to monitor the progress of the improvement plan.
  • Address any issues or obstacles: Be proactive in addressing any challenges or obstacles that may arise during the implementation of the improvement plan.
  • Evaluate and adjust as needed: Periodically evaluate the effectiveness of the improvement plan and adjust as needed.
